If you choose not to provide certain information then TwentyToOne might not be able to manage your property, or rent a property to you, whichever is applicable.
Your information will be recorded on relevant statutory and agency documentation, and will be stored safely and in a way that is not accessible to third parties. Your information that is stored on a computer database will only be accessible by the Licensee of TwentyToOne, and electronic firewalls are in place.
In the course of normal business, and in order to comply with legislation and best practice standards, it might be necessary to provide certain personal information about a client or customer to another person or entity. Examples: Details on tenancy application forms will be discussed and verified with third parties named on the application. Once copies of tenancy agreements are distributed, tenant contact information will be seen by the lessor, and the lessor name will be seen by the tenant. Other examples include personal information of lessors and tenants being passed on to persons or entities such as, but not limited to, tradespeople, insurers, the RTA, Small Claims Tribunal, and tenancy databases, as is appropriate and necessary. Should the property be sold during a tenancy then lessor and tenant information would be seen by relevant persons and entities such as, but not limited to, selling agents, solicitors, buyers and lending institutions, as is appropriate and necessary. Information about rents achieved in lettings might be used to provide market information to third parties, but no names will be provided to third parties in this instance.
Other than standard business practice, personal information will not be revealed to any third parties without the written consent of the clients and customers concerned.
Your contact details will be used by TwentyToOne to phone through, or to email or post, communications that will be relevant and of interest to you as either a lessor or a tenant, including newsletters. Your personal details will not be sold or rented to any other person or entity for marketing purposes.
If you contact TwentyToOne by phone to verify your details, please be prepared to answer security questions to confirm your identity prior to the release of personal information. You can gain access to copies of any information held about you by contacting TwentyToOne however in limited circumstances this might be refused, or a reasonable fee might be charged, but only in accordance with the Privacy Act.
